Monday through Friday

$23.00 - $27.00 per hour

Position Overview

We are seeking a detail-oriented Administrative Assistant to support a busy construction and engineering organization in North County San Diego. This role plays a key part in day-to-day office operations, supporting project teams, maintaining compliance documentation, and ensuring efficient administrative processes. The ideal candidate will have prior experience in the construction industry and thrive in a fast-paced environment.

Key Responsibilities

  • Prepare and submit prevailing wage and union-related documentation for construction projects.
  • Process and maintain certified payroll records through applicable reporting systems and agencies.
  • Utilize platforms such as LCP Tracker, eMars, Prism, and the California DIR portal.
  • Welcome visitors and provide professional front desk support.
  • Answer and direct incoming phone calls.
  • Maintain organized filing systems for company and project documentation.
  • Perform data entry with a high level of accuracy and attention to detail.
  • Create and distribute bid invitations and project communications on behalf of the estimating team.
  • Assist with maintaining driver records, equipment logs, and related compliance documentation.
  • Support various administrative and office functions as needed.

Qualifications

  • Previous administrative experience within the construction, contracting, or engineering industry.
  • Knowledge of prevailing wage reporting and certified payroll processing.
  • Strong proficiency in Microsoft Office Suite, including Excel, Outlook, and Word.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • High level of accuracy and attention to detail.
  • Ability to work independently as well as collaboratively with internal teams.
